TheraPlatform allows users to request billing information (credit card information) from their clients. You can request billing information:
- when adding a new client to the caseload
- or at any point from existing clients from their chart
When adding a new client, you have an option to manually check the box -"request billing info" or the admin can turn auto function on, that would always automatically request billing information from All clients when adding a client, without you manually checking the box "request billing info".
Note: If you have some or all clients on your caseload, who will not be required billing information, we recommend that you manually mark the box "require billing info" for the clients who will be required to provide this information. (instead of auto require card with "always require billing information" option)
Here are directions how admin/biller can set auto- require billing information from all clients:
Step 1: Click on Settings< Portal< Public Scheduler.
Step 2: Mark in blue "Always require billing information".
Step 4: Click Save changes.
Important: Once the admin sets the above, all users (e.g., therapists, schedulers), who will be adding a new client - will see a message above the field "require billing information" that "Always require billing option is enabled in settings" and they DO NOT have to check the box require billing info as the system will automatically require that the client provides billing info.
Here are directions how to manually check the box to request billing information when adding a new client:
Step 1: Click Clients < Add.
Step 2: On the pop- up box, provide client's name, etc.
Step 3: To request billing information from this client, check the box "request billing info" (this box should be blue).
When the client is saved, the client will then be requested to enter his/her credit card information via the client portal.
Note: Please note that TheraPlatform does not store your credit card or your clients' credit cards information. All credit cards are stored on Stripe, our credit card payment partner.
If you do not mark "require billing information" when adding a new client or the admin did not set up "always require billing information from clients", you can always request billing from clients from their chart.
Here are directions to request billing information from existing clients from their chart:
Step 1: Click on Clients.
Step 2: Click on the eye icon next to the name of your client or start typing the name of your client in the top search Client bar to open the chart.
Step 3: Next click on Account< Stripe.
Step 4: Then click on Configure Stripe and at the pop up box, mark in blue "required".
Step 5. Click on Save changes.
