Add Referring Providers

The admin and billers or therapists with assigned biller role can add and manage referring providers and this function is available on Pro and Pro Plus plans.

Add referring providers

Step 1: Log in to your room (your personal URL).

Step 2: Click on the Settings.

Step 3: Click on the  Billing.

Step 4: Click on Referring Providers.

Step 5: Then click on  Add referring provider.

Step 6: At the pop-up box, enter the referring provider's name and NPI.

Step 7: Click on Save Changes.

Step 8: If you need to add the referring provider's taxonomy code, click on the green Edit button next to the referring provider you added.

Step 9: At the pop-up box- click on the blue button Add additional id.

Step 10:  Select Insurance, qualifier, and enter id number.

Step 11: Click on Save changes.

Note: To add a taxonomy code, you need to add insurers (health insurance) first.

Once you enter referring providers under the Settings you and your therapists will be able to assign the referring provider to your clients. You can also request the referring provider from your clients by sending the demographic form to your clients.

To assign referring providers to your clients follow these:

Step 1: Log in to your room (your personal URL).

Step 2: Click on Clients.

Step 3: Click on the eye icon next to the name of the client or start typing the name of the client in the upper Client search bar. Select the client and this will open the chart.

Step 4: After you open the chart, click on Client details< Details

Step 5: Next click on the Edit button.

Step 6: At the pop-up box, select the referring provider.

Step 7: Click on Save Changes.

Note: Our system validates NPI and if you enter a fake or invalid NPI the system will not allow you to add/save the referring provider. 

When you send the demographic form to your client and your client enters a completely new name of the provider (the referring provider was not entered under Settings), the client can enter the name of the referring provider on the demographic form under "referring provider" and our system will pull a list of referring providers with that name entered and their addresses (matched with NPI database). The client will be able to click on select next to the referring provider and this provider will be automatically saved for you under Settings > Billing > Referring providers.
