TheraPlatform offers different roles in the Pro and Pro Plus plans. The main subscriber automatically is assigned the administrator role and therapist role. If the admin is a solo therapist, they do not need to add themselves under Therapists on TheraPlatform. Below is an overview of each role:
Administrator: (charged as 1st provider)
Tasks performed by the admin:
- Can add therapists
- Can add staff (biller/scheduler)
- Can see all clients (no matter who adds clients to the caseload)
- Can add clients
- Can assign clients to therapists
- Can view therapists' notes
- Has access to reports
- Can bill (invoice, send invoices to clients, create superbills, submit claims electronically) Note: you can turn the auto-billing feature on and all of the billing will be automatically done except for claims
- Can set up practice/organization under Settings (address, billing, consent and intake forms, note templates, billing, set up Stripe, view and modify email/text notifications; upload logo, modify client portal, activate website widget with external scheduler, etc.)
- Can view other therapists' calendars and schedule for therapists
- Can schedule their own clients, set their own scheduling availability, document, write notes, send consent and intake forms, etc.
- Can add resources, YouTube videos
- Can provide tele-sessions, chat with clients
- Can add attachments under the client’s chart
- Can send/share resources with clients
Therapist: (charged as discounted)
Tasks performed by the therapist:
- Can add clients (however if you have a case when 2 clinicians will be treating one patient, we recommend that the admin assigns a patient to both clinicians)
- Can schedule, set own schedule availability
- Can send consent and intake forms that were set up by the administrator
- Can document
- Can upload and share PDF resources and YouTube videos with other users
- Can send resources to patients
- Can provide tele-sessions, and chat with clients
- No billing
Biller (staff): (no charge)
Tasks performed by the biller:
- Can set up some parts of practice under Settings (add organization name, address, set up billing, consent and intake forms, note templates
- Can bill (invoice, send invoices to clients; can create superbills, submit claims electronically, see billing reports, etc.
- Can add attachments under clients’ charts (e.g. PDF of driving license, etc.)
- Can send consent and intake forms and view them after the patient completes them
- Can view therapy notes (but cannot edit them or write any therapy notes) and print them in case of health insurance audit
- Unable to add clients or therapists; however, can add a staff member and assign both biller and scheduler roles. In this case, one will be able to add clients and therapists
Scheduler (staff) : (no charge)
Tasks performed by the scheduler:
- Can add clients
- Can assign clients to the therapist
- Can add therapists
- Can send and view intake and consent forms
- Cannot see therapists’ therapy notes
- Can schedule for all therapists and admin
Note: The administrator can add as many staff members as needed. There are no fees for adding staff members.
In addition, the admin can assign the biller, the scheduler, or both roles to a therapist.
