Admin and therapists (providers) can set their own schedule availability so clients can schedule appointments with them via the client portal and the public TheraPlatform's scheduler on your websites.
When admin and, or therapists toggle on request approval when setting their scheduling availability, they will also need to approve or disapprove requested appointments.
Note: You can approve and disapprove one meeting at a time or bulk approve and disapprove requested meetings.
Bulk Approving and Disapproving Requested Meetings/Appointments
Here are directions on how the admin, scheduler, and therapists approve/disapprove multiple requested appointments at once (bulk):
Step 1: Log in to your virtual practice (room URL).
Step 2: Click To Do.
Step 3: Under the Scheduling category, click on Meeting Approvals.
Step 4: A list of requested meetings will be pulled. To approve all meetings, click on the Approve All button. To disapprove all of them, click on the Disapprove All button.
Step 5: If you want to select multiple meetings for approval, check the ones you want to approve by clicking on the little box to mark each requested appointment, then click on either the Approve selected button or the Disapprove selected button. (Same for disapproving selected meetings)
Step 6: In the pop-up Approving box, you will have the option to select forms and request additional information. Click the approve button to approve the meetings in bulk.
Important Note: When you bulk approve new or existing clients' requested meetings, you can also right away, request all forms, demographic, contact, insurance, and billing information, etc. . Please note that with the bulk option all forms and other information that you require will be required from all clients at once.
If you want some clients to fill out forms or provide other info like demographics, contact, insurance, billing, etc., but not all, do not use the bulk approval method. Instead, use the single meeting approval method with the directions provided below.
Single Meeting Approval
Here are directions on how to approve one meeting at a time.
Step 1: Log in to your URL.
Step 2: Click To Do.
Step 3: Under Scheduling, click on "Meeting Approvals".
Step 4: A list of requested meetings will pull, click on the green "edit" button next to the name of a client requesting an appointment.
Step 5: A pop-up box will open, click on "approve" to approve requested appointment or click on the "disapprove" button to disapprove requested appointments. You can enter a reason for disapproval but please the reason short and don't include any confidential information.
Note: In the pop-up box where you approve or disapprove existing clients, you will see three dots next to forms. When you click on the dots, you will see options to request intake, consent forms, demographic, contact, and billing information.
