Please make sure to set up your text reminders prior to scheduling appointments.
If one schedules first (but sets reminders after), the reminders will not apply to already scheduled appointments- only the future (not scheduled yet) appointments will have your text reminder. In this case, appointments that were scheduled prior to setting up text reminders would need to be deleted and scheduled again.
Please note that text reminders will not be sent out if appointment time passes the mark of your custom reminder set up. For example, if one sets up a text reminder to be sent out 1 hour before the session at 10:00 am and then schedules an appointment at 10:01 am for 10:30 am, the 1-hour text reminder will not be sent out as one has only 30 min left prior to appointment. This will only occur during the initial setup. If the 11:00 am appointment occurs every week, the next week reminder will be sent.
The best way is to set up all your reminders when you set up your entire practice under the settings of TheraPlatfrom. After setting up your practice and reminders, add your clients to your list and then schedule.
Set up text reminders for telehealth visits
Step 1: Log in to your personal URL.
Step 2: Click on settings.
Step 3: Click on notifications.
Step 4: Scroll down and find reminder to start your [room] online meeting with the type of notification text.
Step 5: Click on the blue box with a bell icon next to the above title.
Step 6: The pop-up box will show, click on Add reminder.
Step 7: Add your reminders by first selecting minutes, hours, or days and enter the number (e.g. if you wish to send an email reminder a day before the scheduled appointment, select days and enter 1) then click on save changes.
Step 8: To add another text reminder, click on Add reminder, and repeat the steps.
Note: There is a $0.02 fee for each text reminder sent to your client. Reminders can be set up by the administrator of the account. The administrator can customize how many and how frequently email reminders are sent out.
Important: Please make sure that you added a phone number for your clients so they can receive text reminders and that you set up reminders prior to scheduling. You should set reminders first and then schedule so your clients can receive reminders.
