You can view claims and their status , from multiple locations on TheraPlatform: from billing, To Do, Client's chart and calendar.
From Billing
Step 1: Click on Billing.
Step 2: Click on Claims.
Step 3: You can filter claims here:
- Click on three dots to filer claims by: client's name, creation date, reference number, ERA trace ID, provider, Validation error and denial reason code, balance (paid, open); by submission (all, scheduled, not scheduled)
- Click on search box All to filter the claim by status (e.g. draft, submitted, rejected, etc.).
- Click on search Payer box to filter claims by payers (health insurance)
- Click on search Invoice ID box to filter claims by invoice number.
Step 4: Once you set the filters according to your preference and find the claim of your interest, you can click on the eye icon to view the claim.
From To Do
Step 1: Click on To Do.
Step 2: Under Insurance, you can click on :
- Unprocessed claims :these are the invoices that have insurance on file and are ready for claim creation. If you turned auto claim creation under Settings< Billing< Settings, these automated claims will not show here. You will only see invoices here ready for manual claim creation (auto claim is off and you click buttons to create).
- Invalid claims: claims that returned as invalid.
- Rejected claims: this will list all rejected claims. You can click on the eye icon to view each rejected claim and then fix it and re-submit it.
- Adjusted claims: this will lists claims that need adjustment.
- More Info required claims: These are not clean claims. Our system found issues with the created claims (e.g. missing DOB, etc.) and you need to fix them so they can be submitted. Here you will see both manually created claims and automatic claims as our system will not submit a claim that is not clean (has missing info)
- Scheduled Claim Submissions: These are the claims that our system created automatically (if auto claim creation and submission is turned on under Settings< Billing< Settings) and they are scheduled for automated submission. You don't need to do anything here, they will be submitted by our system but if you wish, you can review them here too.
- Draft claims: These are the claims that you manually created but not submitted yet. You can click on draft claims to submit them. The claims under Draft are considered clean (our system did not find any missing information, e.g., DOB, etc.)
From Client's Chart
Step 1: Click on Clients.
Step 2: Click on the eye icon next to the name of the client or start typing the name of your client in the upper Client search bar. Select the client and this will open the chart.
Step 3: Click on Billing.
Step 4: Click on Claims.
Step 5: You can filter claims according to your preferences:
- Click on three dots to filer claims by: creation date, reference number, ERA trace ID, provider, Validation error and denial reason code, balance (paid, open); by submission (all, scheduled, not scheduled)
- Click on search box All to filter the claim by status (e.g. draft, submitted, rejected, etc.).
- Click on search Payer box to filter claims by payers (health insurance)
- Click on search Invoice ID box to filter claims by invoice number.
Step 6: Once you set the filters according to your preference and find the claim of your interest, you can click on the eye icon to view the claim.
From the calendar
Step 1: Click on the scheduled appointment on the calendar ( if you are the admin or the biller and need to view the calendar of other therapist's, switch the calendar to this therapist's calendar).
Step 2: At the pop up box, click on View Invoice and then on View Claim green button at the bottom of the invoice.
