TheraPlatform allows you to bill manually and/or automatically. With our billing automation, our system will automate all or some aspects of your billing, e.g., TheraPlatform will automatically create invoices for you.
You can choose to enable automatic invoice creation for services that were provided in the past. You can also set up automatic invoice sending to clients so that after an invoice is automatically created, the invoice will be automatically sent to your clients via our system.
If you prefer to create invoices manually please refer to this article. By default automatic invoice creation is disabled.
Note: If you want to have automatic invoicing for some but not all clients, you can disable auto-invoice for certain clients under the chart. Directions provided below.
NOTE: Before billing (e.g. invoicing, payment collecting and posting, and creating claims), please set up your practice with billing information and enter the client's information.
Enable automatic invoice creation
Step 1: Click on Settings< Billing< Settings
Step 2: Click on Edit.
Step 5: Toggle the option Auto Create Invoices.
Step 6: Specify how often you want invoices to be created.
Step 7: Toggle on Send Invoice to Client if you want our system to automatically send an invoice to your clients. (Select this option if you want the system to send both open and closed/paid invoices).
Step 8: If you want the system to automatically send only open invoices (not paid), toggle on Send When Client Has Open Balance Only
If you want our system to automatically charge credit cards, continue with the steps below. Otherwise you can select Save Changes.
Step 9: Toggle on Auto Charge Client and indicate when you wish to automatically charge the credit card.
If you prefer not to auto-charge your clients, leave this option toggled off and your clients will still receive an automated invoice for which they can pay themselves via the client portal.
Step 10: Toggle on any other options such as invoice reminders, superbills, statements, etc. If you don't wish to automate these, leave them toggled off.
Step 11: Click on Save Changes.
How to disable auto invoicing for certain clients
If you like the Auto Charge Client option but only for certain clients, you can disable this function under the chart:
- Locate the client under the Clients and open the chart
- Click on Billing< Billing Account< Edit billing account
- Disable automated billing by marking the options that you wish. For example, mark in blue Disable Auto invoice. (Blue switch on means that this is disabled.)
