Allow your clients to schedule appointments with you by themselves by setting up your availability.
Here are the steps how you can set your own scheduling availability:
Step 1: Navigate to Schedule/Calendar and click on the check mark icon located near the top left of the calendar.
Step 2: Click on Add (purple box above the calendar).
Step 3: A pop-up box will open. Mark the days you're available. ( enabled (purple).
Step 4: Set your time and duration.
Step 5: If you wish to approve requested appointments/meetings, mark "requires approval" in purple.
Step 6: Under Availability Period:
- set the start date: click on the icon of the calendar to select the date and
- end time: you can select "Never" and with this option the available services will be set forever or you can select "On specific date" and set the end date.
Step 7: Select Advanced Hours as needed (For example if you wish your clients schedule 24 hours before scheduled time, select 24h, etc.)
Step 8 : Mark in purple "Require services" so your clients see services that are available for them to schedule.
Note: If you leave "Require services" unchecked, your clients will see a message "No sessions available" when trying to schedule.
Step 9: Under "Public" services, select the service that is available for new clients via the online booking widget. If you don't use the public scheduler or if you don't wish new clients to schedule, you can leave the field "public services" blank.
Step 10: Under "Private" services, select the service that is available for your existing clients.
Note: In order to select services when setting up scheduling availability, make sure to add all your services under Settings<Billing.
Step 11: Select Location (e.g office or Telehealth) for the service.
Step 12: If you selected office location, select the address of the office.
Step 13: If you selected private services:
- You can request payments from clients at the time of booking. To request this, mark in purple "Payment required when booking private service".
- You can request payments from Telehealth clients before they join online session by marking in purple "Payment required before online joining session" (For Telehealth only)
Step 14: Click on Save changes.
Note: If you mark "requires approval", the meeting will show on the calendar but it will not be scheduled until you approve requested meeting (appointments). Learn how to approve meeting (appointment) requests here.
Please note that the admin, the scheduler and the therapist (who are assigned the scheduler role) can set scheduling availability for other therapist on the team. This article reviews how.
